Customers should request a Geo Logica service (hereinafter service is considered as any activity related with GeoTourism, GeoAdventure, GeoEducation, GeoCommunication, GeoTraining or GeoConsultancy as described on website www.geologica.xyz ) via email, online website form submission, or any other written form of communication to its address.

Geo Logica will reply to the service request via email with a quote detailing the type of service, starting and ending date, location, fees and general guidelines and directives. Unless stated otherwise, quotes are valid for 30 days.

The service is considered contracted (hereinafter booked, confirmed, accepted and/or awarded) upon receiving via email payment confirmation of total service cost, unless otherwise stated by Geo Logica. By accepting the contract the client is acknowledging that have read and accepted the terms and condition presented here.

Total service cost is presented in the quote provided to the client and does not include VAT. Unless agreed otherwise, payments of total service cost should be done via bank transfer to the IBAN number provided in the quote.

Unless stated otherwise by Geo Logica, the confirmation of payment should be received one week prior to the service starting date. Until the confirmation of payment is received, the company is free to cancel or change the service.

The contract ends with the submission and/or completion of the quoted service. If the customer asks for any changes or additional requests to a contracted service not contemplated in the original quote, the contracted service will be cancelled. To accommodate any changes or additional requests, a new quote will be drafted for client appreciation and acceptance. Geo Logica is not obligated to accommodate changes or additional requests not contemplated in the contracted quote.

The contracted service can be terminated, suspended or cancelled at any time due to unforeseeable circumstances, any force majeure conditions, or any action by a third party or external service provider that compromises the proper completion of the service. No refund will be provided in any of the situations mentioned above. Client has the right to cancel a service, nonetheless will not be entitle to a refund.

Services or field trips that require a minimum number of participants, can be cancelled by Geo Logica if that minimum number is not achieved one month prior to the beginning of the service/field trip.

Some of our services include a relevant insurance. This might be due to legal obligations related to the service provided and/or following Geo Logica best practice standards. If the service provided is covered by insurance, this will be clearly stated on the quote sent to the client. By accepting a quote and related service that includes an insurance policy, you are accepting the insurance policy terms and conditions. You can request at any time the insurance terms and conditions before and while the contract is valid.

Geo Logica advises clients to arrange any additional insurance to cover all activities not included in the insurance policy related to the service provided. Geo Logica has no liability for activities not covered by the insurance policy mentioned in the quote.

We reserve the right, at our sole discretion, to modify or replace these terms and conditions at any time. If a revision is material we will try to provide at least 15 days notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion. Please check if the terms and conditions have changed before proceeding with the service acceptance.

Geo Logica has no control over, and assumes no responsibility for the content, privacy policies, terms and conditions or practices of any third party services. You further acknowledge and agree that Geo Logica shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with use of or reliance on any such content, goods or services available on or through any such services.

Any terms, conditions or service contract with Geo Logica and any dispute or claim arising out of or in connection with its subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in all respects in accordance with the Portuguese Law.

Any dispute arising out of or in connection with our contracts, including any question regarding its existence, validity or termination, shall be referred to and finally resolved by arbitration under the Portuguese Law, which Rules are deemed to be incorporated by reference into this clause. The seat or legal place of arbitration shall be in Lisbon, Portugal. The language to be used in the arbitral proceedings shall be Portuguese. The governing law of the contract shall be the substantive Law of Portugal.

Clients can expect to be guided, tutored, trained and/or work among highly qualified and specialised individuals in Earth Sciences and fieldwork topics. Geo Logica counts with more than 20 years experience in performing field trips and fieldwork in some of the most challenging locations in the world.

Geo Logica provides door to door field trip transportation. The pre-arranged pick-up and drop-off locations affect the total service cost. These locations need to be provided when requesting a service (see section 1.1). Any subsequent change to pick-up and drop-off locations, will need to be pre-arranged and agreed before the field trip day, as these may affect the service cost (see section 1.3).

Transportation type will depend on the number of participants and/or travel comfort option (when applicable) chosen when filling the field trip form. Easy going travel comfort implies basic economic vehicles. Extra-comfort travel implies above average vehicles.

Geo Logica provides light meals and drinks in all our field trips. Meals and drinks vary depending on the travel comfort option chosen when filling the field trip form (when applicable).

Easy going travel comfort implies light meals and drinks, which including mid-morning coffee or tea, light lunch (soup and sandwich), light snacks and water.

Extra-comfort travel includes mid-morning coffee or tea, snacks and water (as in the easy going travel option) and a local traditional gastronomic experience during the chosen activity. This experience varies according to the area visited.

When applicable, travel comfort options need to be defined when requesting a service (see section 1.1).

On multi-days field trips Geo Logica will arrange accommodation with local hotels and/or guest houses around the localities where the field trip will take place. All our suggested partners have high standards on the services provided and were picked by Geo Logica for providing excellent experiences during our past stays.

Similarly to the transportation, meals and drinks, accommodation selection will also depend on the travel comfort option chosen.

Easy going travel comfort implies minimum of 3-star accommodation or equivalent.

Extra-comfort travel includes minimum of 4-star accommodation or equivalent.

Geo Logica reduces paper usage by providing digital booklets and info to participants.

We use local products, content and services when possible. We advocate the efficient use of transports, electronic devices, and materials while promoting re-usage, recycle and reduce policies.

Geo Logica promotes responsible access to outcrops, minimising the impact on rocks, flora and fauna. Therefore we request all needed legal authorisations and permits to develop Geo Logica activities. Geo Logica strives to promote best environmental and social practices in all our activities and products.

We support community science programs with local associations, universities, schools and councils to preserve and sustainably develop their local environment and ecosystems. The services and options presented in this section do not apply to GeoCommunication and GeoConsultancy services. Please consult Section 3 for those services terms and conditions.

Geo Logica consultancy projects and services types, options and details are described on the website related section “GeoCommunication” and “GeoConsultancy” (www.geologica.xyz). Projects are tailored to the clients specific needs, being therefore unique and adjusted to the areas and research topics involved.

GeoCommunication and GeoConsultancy quotes include the best known options and practices that can be provided by the team of professionals involved in each project. All project details, deliverables and costs are described in the project quote. Final products provided include solely those described in the accepted quote. Any additional service/ deliverables not included in the accepted quote, will require an additional quote separately and may imply additional cost and time allocated to perform the project.

Contracted projects and services follow the general Contractual Service Procedure presented in Section 1 of Terms & Conditions. Contracts and/or quotes are unique, and cannot be used or set as standard or reference, either technical nor economical, for subsequent projects, related or not to the same client and/or area.

Unless otherwise stated on a specific contract, Section 2 “included services and additional options” do not apply to GeoCommunication and GeoConsultancy projects.

As each project is unique, Geo Logica gathers a technical team that best fits the proposed work. All technical staff involved in a project are professional and/or academic experts with track-record on the subjects and/or areas of the project. Clients can expect their projects to be developed by highly qualified and specialised individuals in Earth Sciences, GIS, fieldwork and other relevant topics related to the work performed. Geo Logica counts with more than 20 years experience in performing geological mapping projects, preparing and planing reconnaissance field trips and fieldwork in some of the most challenging locations in the world.
